How to Reduce Appointment No-Shows

A no-show is a hidden revenue loss for any appointment-based business: an empty hour cannot be recovered. The good news is that no-shows are usually caused by forgetting or changed plans rather than bad intent, which makes them manageable.

1. Send a reminder before the appointment

The simplest and most effective step is a reminder. A short SMS or notification the day before helps the client remember and tell you if they cannot come. PLAN 7/24 sends automatic SMS and push reminders and lets you edit the message wording (Standard and above).

2. Make cancelling and rescheduling easy

If cancelling feels hard, clients simply stay away. Include a polite line such as “If you cannot make it, please let us know in advance” and a clear way to reach you. Early cancellations also let you offer the slot to someone else.

3. Give clear appointment details

  • Include date, time and service name
  • State the address or meeting point
  • Add a short note if preparation is needed

4. Note repeat no-shows

Record past no-shows in the client card notes so you can decide how to handle those clients at busy times. It is a planning note, not a judgement.

5. Let clients book for themselves

When clients choose a time themselves they tend to commit more than to a slot someone “squeezed in” by phone. With an online booking link (Standard and above) they plan 24/7.

In short, you cannot reach zero no-shows, but automatic reminders, easy cancellation and clear details cut them noticeably. Try PLAN 7/24 free for 14 days and see the result in your own business.
